Privacy Policy.
This policy covers how Younify Tech Limited (trading as SureKitchen™) handles personal data when you use our app and website. We've kept it short and free of legalese.
1. Who we are
Younify Tech Limited is registered in England & Wales under company number 15449518 and trades as SureKitchen™. Our registered office is 28 Goshawk Court, Ridding Lane, Greenford, England, UB6 0FL. We're the data controller for the personal data described in this policy. You can reach us at hello@surekitchen.co.uk.
2. What data we collect
Three buckets:
Account information
- Your name and email address (so we can sign you in and contact you)
- Your business name and location (so the app personalises the records)
- Sign-in credentials (your password is stored hashed; we never see it in plain text)
- Billing details — name, card details, billing address. Card numbers themselves go directly to Stripe, our payment processor. We never see or store them.
Kitchen records
- Fridge temperatures, checklist completions, cooking probe readings, pH readings, delivery details and photos, defrost logs, allergen matrix, supplier list, team list, documents you upload
- The HACCP / FSMS document you build using our Builder
- The metadata around those records — when they were created, by which team member, on which device
Website enquiries and public FSMS submissions
- The email address entered when you request a trial, plus campaign information included in the page link
- The business details, answers and contact email you submit through the public FSMS Builder
- Whether you separately chose to receive product updates and food-safety guidance
You do not need a SureKitchen account to use the public FSMS Builder. We clearly ask you to confirm the submission notice before your answers leave the browser.
Technical data
- Your IP address (logged briefly for security and abuse-prevention; deleted on a rolling 30-day basis)
- Browser type and operating system (used only to debug issues)
- Crash reports if the app errors out (anonymous, no personal data included)
We don't use third-party analytics that profile users (no Google Analytics, no Facebook Pixel, no Mixpanel). We don't track you across websites.
3. Where the data lives
Trial enquiries, public FSMS submissions and records entered into SureKitchen are stored in our managed PostgreSQL database. Uploaded account evidence is stored in private cloud storage and is only served through authenticated application routes.
This account-based storage lets authorised team members work from different devices while keeping each kitchen workspace separated. You can export your operational records from the app.
Account and billing data is held by our service providers in the UK and EU, listed in section 5 below.
4. Why we hold it — our legal basis
Under UK GDPR we need a lawful basis for handling personal data. Ours are:
- Contract performance — we hold your account and billing data because you've signed up for the service and we need that data to provide it.
- Steps you ask us to take — we use your trial request and FSMS submission to provide the requested service and respond to you.
- Legitimate interest — we hold technical data (IP, crash reports) to keep the service secure, debug issues, and prevent abuse.
- Consent — if you tick the optional marketing box on the FSMS Builder, we may send product updates and useful guidance. You can withdraw that consent at any time.
- Legal obligation — we hold tax and accounting records for the period UK law requires (currently 6 years for VAT).
Submitting data needed to provide the builder is separate from the optional marketing choice.
5. Who we share data with
Only the providers strictly needed to run the service. Each one is bound by a data processing agreement under UK GDPR.
- Stripe — payments (UK/EU/US)
- Google Cloud — application hosting and private document storage
- Neon — managed PostgreSQL database infrastructure
- Mailjet — transactional email delivery
We do not sell your data. We do not share it with advertisers, brokers, or anyone who would use it for purposes other than providing the service you've signed up for.
6. Your rights under UK GDPR
You have the right to:
- Access a copy of the personal data we hold about you
- Correct anything that's wrong
- Delete your account and your data, subject to records we're legally required to keep
- Export your data in a portable format (PDF and CSV at the click of a button)
- Object to processing on the basis of legitimate interest
- Withdraw consent if we've ever asked for it
- Complain to the Information Commissioner's Office (ICO) at ico.org.uk if you think we've handled your data unfairly
Email hello@surekitchen.co.uk with any of the above and we'll respond within 30 days (usually within a few working days).
7. How long we keep data
While your account is active we keep your data so you can use the service. If you cancel:
- Kitchen records — retained while your account is active and removed in line with your account-deletion request and our operational backup schedule.
- Account & billing data — kept for as long as UK tax law requires (currently 6 years for VAT records), then deleted.
- Email contact — removed from any marketing lists straight away on request.
- Trial enquiries and public FSMS submissions — retained for up to 24 months after the last interaction so we can provide support, understand conversions and handle follow-up, then deleted or anonymised. You can ask us to remove them sooner.
8. Cookies and tracking
We use essential cookies only — the kind that keep customer and operator sessions signed in. The public FSMS Builder uses browser local storage so you can resume an unfinished form. We don't use marketing cookies, run analytics that profile you across the web, or show you ads.
9. Children
SureKitchen is a B2B tool for food businesses. It isn't designed for or marketed to anyone under 18. If you think a child has provided us with personal data, please email us and we'll delete it.
10. Changes to this policy
We'll keep the latest version here and in the app's Settings. If we change anything material, we'll tell you in-app or by email at least 14 days before it takes effect.
11. Getting in touch
For anything related to your data — exports, deletions, questions — email hello@surekitchen.co.uk. We'll respond within a working day in normal circumstances and always within the 30-day GDPR window.
